Step‑by‑step checklist before you pay

1. Body, hinges and overall condition

  • Outer body: Check top cover, bottom panel and palm rest in good light. Hairline scratches are normal; avoid deep cracks, missing pieces or bent edges.
  • Hinges: Open and close the lid slowly at different angles. It should feel firm, without wobble, creaking or sudden loosening.
  • Rubber feet & screws: Turn the laptop over – rubber feet should be present and screws should not be missing or loose.

2. Screen test: dead pixels, lines and brightness

  • Physical damage: Check for cracks on the panel, pressure marks, white patches or light bleeding, especially on the edges and corners.
  • Dead pixels / lines: Ask the shop to show plain white, black, red, green and blue backgrounds. Look for black dots, coloured dots or vertical/horizontal lines.
  • Brightness & colours: Increase brightness to maximum and minimum. The screen should be evenly lit, readable, and not flicker.
  • Touch (for touch models): On a touch‑screen laptop, swipe and tap around all corners to ensure the touch response is even across the display.

3. Keyboard and touchpad

  • All keys: Type each key at least once (you can open Notepad). Ensure no key is sticking, double‑typing or not registering.
  • Backlight (if present): Turn the room lights low and toggle the keyboard backlight keys to check if it works consistently.
  • Touchpad: Move the cursor in circles and straight lines. Test left/right clicks and two‑finger scroll. The pointer should be smooth, without jumps.

4. Ports, webcam, speakers and Wi‑Fi

  • USB & HDMI: Plug in a USB pen drive/mouse and an HDMI cable (if available). Confirm detection on screen and that display output works.
  • Audio: Plug in headphones and check the 3.5mm jack. Also test speakers with a YouTube video or sample audio.
  • Webcam & mic: Open the camera app and a video call app to check video and microphone clarity.
  • Wi‑Fi & Bluetooth: Connect to the shop’s Wi‑Fi and pair a Bluetooth device if possible. This confirms wireless is working.

5. Battery health and charger

  • Charger: Inspect the adapter and cable for cuts, exposed wire or loose pins. Confirm the charging pin fits snugly in the laptop.
  • Charging behaviour: With the laptop on, plug in the charger and check that Windows shows “plugged in, charging” and the percentage increases after a few minutes.
  • Battery health: Ask the technician to show you the battery health/status page in Windows or BIOS. Ideally, health should not be close to the end of life.

6. SSD health, RAM and basic performance

  • SSD: Confirm that the storage type shown in Windows matches what you’re paying for (for example, 256GB SSD on models like the Dell Latitude 5400).
  • Health / errors: Ask the shop to open the SSD information screen in Windows or BIOS that shows drive status/health; it should not show warning or failure messages.
  • RAM: In the system information screen, confirm the RAM (for example, 8GB on these Latitude models) matches the invoice.
  • Quick performance feel: Open a few browser tabs, a PDF and an Office document together to check that the system is comfortably responsive for your typical workload.

7. Windows activation, BIOS lock and security

  • Windows activation: Go to the Windows activation settings and confirm it shows that Windows is activated with a valid licence.
  • BIOS / admin lock: Ask the technician to enter the BIOS setup in front of you. There should not be any unknown password blocking entry.
  • Company locks: Ensure there is no organisation or school account still linked that prevents you from resetting or reinstalling Windows later.

8. Matching serial numbers, warranty and invoice

  • Serial number match: Note the serial number printed on the laptop’s bottom/under battery. Confirm it matches what is printed on the invoice.
  • Warranty terms: Read the store’s warranty and return policy. You can also review Karthik Computers’ detailed warranty & returns page online.
  • GST invoice: Ensure the invoice has GST details, laptop model, configuration, serial number and price clearly mentioned.

Questions, answered

How is a refurbished laptop different from a used laptop?

A refurbished laptop is tested, cleaned and reloaded with fresh software by a professional seller, usually with a proper invoice and warranty. A random used laptop from an individual may not have these checks or support.

Is 8GB RAM and 256GB SSD enough on a refurbished business laptop?

For office work, online classes, browsing and light multitasking, 8GB RAM with a 256GB SSD, like on the Dell Latitude 5400, 7290, 5490 and 5420 Touch, is usually sufficient. For heavy multitasking or very large files, you may later upgrade RAM or storage if the model supports it.

What documents should I take when buying a refurbished laptop?

Take a proper GST invoice with your name or company name, laptop model, configuration, serial number, price and tax details. Also keep the written warranty details and any service contact numbers provided by the store.

Can I return a refurbished laptop if I find an issue later?

Return and replacement policies depend on the seller. At Karthik Computers, refurbished laptops come with a 7‑day replacement policy and a 6‑month Karthik Computers warranty, as per their stated terms.

Does Karthik Computers ship refurbished laptops outside Chennai?

Yes. Karthik Computers offers free shipping across India on orders above ₹5,000, and orders are typically dispatched within 2 working days and delivered in about 4–5 working days.
